Wellplayed Privacy Policy

1. Organization Responsible for the App

The Wellplayed app is operated by:

JB Music Therapy Inc.

A designated privacy/data officer oversees privacy and data governance.

This Privacy Policy applies to:

  • the Wellplayed mobile application
  • any associated Wellplayed services

This policy is made easily accessible within the app.

2. User Accounts

Users are required to create an account to access Wellplayed.

The information required for account creation is intentionally minimal and includes:

  • Name
  • Email address
  • Password
  • Generation (e.g., Gen Z, Millennial, Gen X)
  • General geographic location (province/state and country)
  • Organization (optional)

Users cannot access the platform without creating an account.

Users are able to:

  • access their account information
  • update their information
  • download their data
  • delete their account and associated data – Delete Account

3. Information Collected

Personal Information

Wellplayed collects limited personal information strictly for account creation and platform functionality.

This includes:

  • Name
  • Email address

Additional demographic information such as generation and general location may be collected to understand patterns of use across populations.

We do not collect:

  • precise location data
  • home addresses
  • profile photos (unless introduced in future features)

Health and Wellbeing Information

Wellplayed collects personal wellness reflections and engagement data through exercises within the app.

This may include:

  • mood check-ins
  • music reflections
  • journaling
  • song selections
  • playlist-related activity
  • emotional or reflective responses

Important:
Wellplayed is not a medical platform and does not collect medical or clinical health data.

Users are encouraged not to enter sensitive medical information into the app.

Internal Access to Personal Reflections

Wellplayed is designed to prioritize user privacy and autonomy.

  • Users maintain full access to their own reflections
  • Personal reflections are not actively monitored or reviewed

Access to personal reflection content is limited and restricted.

We may access user data only when necessary for:

  • system maintenance

Usage Data

  • exercises completed

Music Data

Users currently enter music manually within the platform.

  • Wellplayed does not stream music
  • Music listening occurs outside the app

Future integrations with music services may be introduced and will prioritize user control and transparency.

4. Data Storage and Security

User data is securely stored using:

  • Amazon Web Services (AWS) with servers located in Canada.

We use industry-standard security measures, including:

  • encrypted data storage and transmission
  • secure cloud-based infrastructure
  • restricted access limited to authorized personnel
  • role-based access controls and authentication protocols
  • separation of identifying information from user wellness data where possible

In the event of a security breach involving personal information, Wellplayed will respond promptly and transparently in accordance with applicable privacy laws. This includes:

  • taking immediate steps to contain and assess the incident
  • mitigating potential risks and preventing recurrence
  • notifying affected users where there is a real risk of significant harm
  • reporting the breach to appropriate regulatory authorities, such as the Office of the Privacy Commissioner of Canada, when legally required
  • maintaining records of data breaches as required under Canadian law

Notifications, where required, will include information about the nature of the breach, steps taken to address it, and guidance for affected users.

5. Research and Insights

AWith user consent, anonymized and aggregated data may be used to better understand how people engage with music and wellbeing, and to improve the Wellplayed platform.

This may include:

  • listening trends
  • engagement patterns
  • insights across generations or geographic regions

All such data is:

  • anonymized
  • aggregated
  • not personally identifiable

Product Improvement
Anonymized and aggregated data may be used to enhance user experience, improve platform functionality, and inform the ongoing development of Wellplayed.

From time to time, Wellplayed may collaborate with academic institutions, healthcare organizations, or research partners to advance knowledge in music, wellbeing, and digital health. Participation in formal research studies will require additional, explicit consent beyond acceptance of this Privacy Policy.

Payments for Wellplayed services are securely processed through Stripe, a trusted third-party payment provider.

  • Wellplayed and JB Music Therapy Inc. do not store, process, or have access to users’ credit card or banking information.
  • Payment data is handled directly by Stripe in accordance with its privacy and security policies and applicable financial regulations.
  • Wellplayed shares only the minimum information necessary with Stripe to facilitate secure transactions, such as billing details and account identifiers. Wellplayed still manage subscriptions and access to the Platform; Stipe is responsible for the processing of payments.
  • Any payment disputes, errors, or issues related to financial transactions are subject to Stripe’s terms and policies. Users are encouraged to review Stripe’s Privacy Policy and Terms of Service for additional information.

If you experience any issues with billing or payments, you may contact us for support. Certain payment-related matters may also be subject to Stripe’s terms and policies. We encourage users to review Stripe’s Privacy Policy and Terms of Service for additional information.

8. Age Restrictions

Wellplayed is intended for users aged 18 and older.

We do not knowingly collect information from minors.

Wellplayed is a music-therapy-informed digital wellness platform designed to support reflection, emotional regulation, and overall wellbeing through guided music experiences.

Wellplayed is intended for personal wellness and self-reflection purposes only.

Wellplayed is not:

  • medical advice
  • therapy or psychotherapy
  • a substitute for professional care

Use of the Platform does not create a therapist-client or healthcare relationship.

2. Eligibility

You must be 18 years of age or older to use Wellplayed.

By using the Platform, you confirm that you meet this requirement.

3. Account Registration

To access Wellplayed, you must create an account and provide:

  • Password
  • Generation (e.g., Gen X, Millennial)

  • Organization (optional)

You are responsible for maintaining the confidentiality of your account information.

You agree to use Wellplayed responsibly and in a way that supports wellbeing.

You may not:

  • Upload or share illegal, harmful, abusive, or offensive content
  • Harass, threaten, or harm others
  • Share your account with others
  • Attempt to reverse engineer, disrupt, or exploit the Platform
  • Use the Platform to provide or distribute medical advice
  • Use the Platform in a way that could harm yourself or others
  • Use the Platform for unlawful or unethical purposes

We reserve the right to suspend or terminate your account if these Terms are violated.

You may create and store content within the Platform, including:

  • playlists
  • reflections
  • written responses
  • mood or wellbeing entries
  • personal music selections

Ownership

You retain ownership of your content.

By using the Platform, you grant us permission to store and process your content solely for the purpose of operating the Platform.

Account Deletion

If you delete your account:

  • You may download your content before deletion

  • Your personal content (such as reflections, playlists, and entries) will be removed from active systems

We retain limited account and system information only as needed to:

  • operate and maintain the platform

  • videos and audio resources
  • educational materials
  • platform design and features
  • branding and logos

You may not copy, reproduce, distribute, or modify any part of the Platform without prior written permission.

7. Wellness Disclaimer

Wellplayed is a wellness support tool, not a clinical or medical service.

The Platform:

  • is not a medical device
  • does not diagnose or treat any condition
  • does not replace qualified healthcare or mental health professionals

Wellplayed includes a Care Button to help guide you to appropriate support resources.

8. Privacy

Your use of Wellplayed is also governed by our Privacy Policy, which explains how your information is collected, used, and protected.

By using the Platform, you may receive:

  • in-app notifications
  • product updates
  • newsletters

You may opt out of non-essential communications at any time.

10. Payments and Subscriptions

Wellplayed operates as a subscription-based platform.

  • Some users may receive complimentary access through promotional or discount codes
  • Other users will access the Platform through paid subscriptions which may be offered on a monthly or annual basis

Subscription terms, billing details, and pricing will be provided within the Platform.

Subscriptions may automatically renew at the end of each billing period unless cancelled before the next billing date.

Users are responsible for managing their subscription and ensuring payments are up to date in order to maintain access to the Platform.

You may cancel your subscription at any time. Cancellation will take effect at the end of the current billing period unless otherwise stated.

Refunds, if applicable, will be outlined within the Platform at the time of purchase.

We may offer free trials or promotional pricing from time to time. These offers may be subject to specific terms, which will be provided when they are offered.

We may update subscription pricing or features in the future. If we do, we will provide reasonable notice where appropriate.

11. Account Suspension or Termination

We reserve the right to suspend or terminate your account if you:

  • violate these Terms
  • misuse the Platform
  • attempt to harm yourself or others
  • use the Platform in ways that are unsafe or harmful to yourself or othersunsafe or inappropriate ways

This is necessary to protect the safety and integrity of the Platform and its users.

Wellplayed is designed to support reflection and wellbeing, but it is not a monitored service and is not able to respond to emergencies or crisis situations.

If you are experiencing distress or need support, we encourage you to connect with a qualified professional or access local support services. In rare cases where we become aware of use that raises safety concerns, we may take appropriate action, which could include limiting access to the Platform and directing users to additional support resources.

12. Limitation of Liability

To the fullest extent permitted by law, JB Music Therapy Inc. is not liable for any damages arising from your use of Wellplayed, including but not limited to:

  • financial loss
  • indirect or incidental damages
  • emotional distress

You acknowledge that Wellplayed is a wellness resource, and your use of the Platform is at your own discretion.

13. Use at Your Own Discretion

Wellplayed is designed to support wellbeing and reflection—never to cause harm. While we aim to provide a reliable and consistent experience, the Platform may occasionally be unavailable due to updates, maintenance, or technical issues.

You are encouraged to:

  • use the Platform in ways that feel supportive
  • pause or discontinue use if it does not feel helpful
  • seek additional support when needed

Wellplayed may use anonymized and aggregated data to better understand how the Platform is used and to improve the user experience. This may include general patterns such as feature use, engagement, or trends across users. This type of data:

  • does not identify you personally
  • is used only to improve the Platform

Wellplayed may offer opportunities to participate in research.

  • Participation is always voluntary
  • You may opt in or opt out at any time
  • Separate consent processes may apply

Wellplayed is operated from Canada but may be accessed internationally.

You are responsible for complying with local laws where you use the Platform.
